This Privacy Policy explains how Visual Interactive Studios LLC (“we,” “us,” or “our”) collects, uses, and protects information when you visit companions-of-victory.com (the “Site”) or sign up for anything related to our game, Companions of Victory. By using the Site or submitting a form, you agree to the practices described here.

1. Information We Collect

Information you give us. When you fill out a form on the Site, we collect:

• Your email address (entered twice for confirmation).
• On the playtest form, your consent choice for allowing audio and video content from the playtest to be used in promotional material.
• On a volunteer form, the role you are applying for (for example, 3D Modeler, Gameplay Programmer, or Content Creator).
• The date and time of your submission.

Information collected automatically. Like most websites, our web host keeps standard server logs that may include your IP address, browser type, and the pages you visit. Our Site also loads fonts from Google Fonts, which means your browser connects to Google’s servers and Google may receive your IP address as part of serving those fonts. We do not set our own advertising or tracking cookies on the Site.

2. How We Use Your Information

• To contact you about the playtest, volunteer opportunities, and news about Companions of Victory.
• To organize and manage our community and development efforts.
• Where you have given consent on the playtest form, to use audio and video captured during the playtest in promotional materials.

3. Legal Basis and Consent

We collect and use your information based on the consent you provide when you submit a form. You can withdraw your consent at any time by contacting us (see Section 8).

4. How We Share Information

We do not sell your personal information. We may share it only in these limited situations:

• With service providers who help us operate the Site, such as our web hosting provider, who store the data on our behalf.
• When you interact with third-party services linked from our Site — such as Steam, Discord, YouTube, X, Instagram, TikTok, Facebook, Patreon, or Buy Me a Coffee — those services have their own privacy policies, and we are not responsible for their practices.
• If required by law, or to protect our legal rights.

5. Data Retention

We keep your information for as long as it is needed for the purposes described above, or until you ask us to delete it. When it is no longer needed, we remove it.

6. Your Choices and Rights

You may ask us to see, correct, or delete the personal information we hold about you, or to stop contacting you, at any time. To make a request, email us at the address in Section 8, and we will respond within a reasonable time.

7. Children’s Privacy

The Site is not directed to children under 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child has submitted information to us, please contact us and we will delete it.
